Privacy policy

ThoughtfulEyes ("we", "us") is a Melbourne business that builds AI agents for other businesses. This policy explains what we collect, why, where it lives, and how to get it back or have it deleted. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

What we collect from visitors to this site
- What you send us. If you fill in the contact form, book a call, or message us on WhatsApp, we collect your name, business name, email address, phone number if you give it, and whatever you write.
- Analytics. If you agree to analytics, we collect anonymised information about which pages you visit and how you arrived. Your IP address is anonymised. Nothing loads until you say yes.
- Advertising. If you agree, we may use a Meta advertising pixel so we can show relevant ads to people who have visited the site. Decline and it does not load.
We do not sell personal information to anyone, ever.
What we collect when you're a client
To build and run an agent for you, we handle the business information you give us access to. Depending on the job, that can include customer names and contact details, enquiry and job records, quotes and invoices, and the conversations the agent has on your behalf.
That information is yours, not ours. We hold it to run the service you've asked for, and for no other purpose. We do not use your customer data to train general-purpose AI models.
Where it's stored
Client conversation data and customer records are stored on servers located in Australia. Where a supporting service is hosted overseas, we tell you which one and why before the agent goes live, and we only use providers with contractual protections consistent with the Australian Privacy Principles.
Who else touches it
We use a small number of third-party services to run the business. The ones that can touch personal information are:
- Netlify — hosts this website and receives contact form submissions.
- Cal.com — handles call bookings and the details you enter when booking.
- WhatsApp (Meta) — if you message us there, Meta carries the message. What you send us is stored on our own Australian server; we don't use it for anything but replying to you.
- Google Analytics — website analytics, only with your consent.
- Meta — advertising pixel, only with your consent.
- The AI model and infrastructure providers underpinning each agent, named to you before your agent goes live.
How long we keep it
Enquiries that don't turn into work are deleted after twelve months. Client records are kept for the life of the engagement and then for seven years where we're required to for tax and legal reasons, or deleted sooner on request where the law allows.
Your rights
You can ask us what we hold about you, ask for it to be corrected, ask for a copy, or ask us to delete it. Email hello@thoughtfuleyes.com.au and we'll respond within thirty days, usually much sooner.
If you're not happy with how we've handled it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Cookies
This site sets no cookies at all unless you accept analytics. If you do, Google Analytics and, where enabled, the Meta pixel set their own cookies. Your choice is remembered in your browser's local storage and you can change it by clearing site data.
Data breaches
If a breach happens that's likely to cause serious harm, we'll notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.
Changes
If we change this policy we'll update the date at the top. If the change is significant and you're a client, we'll email you about it rather than expecting you to notice.
